Software for charity treasurers
For the treasurer who would like to be able to hand it over one day
The books, the budget, the cashflow and the figures for the committee meeting, in one place the rest of the trustees can see. Kept so plainly that whoever follows you can carry on from where you stopped.
Free for 30 days, no card needed. Then £5 a month or £50 a year, everything included.
The parts of the job nobody warned you about
Keeping the books is not usually the hard part. Being the only person who can is.
- You are the only person who understands the spreadsheet. You built it. It works. Nobody else can open it, and the committee has quietly stopped asking questions about it because the answers take too long.
- Every meeting means an evening of preparing figures. The month against budget, the year to date, the balance in each account - copied by hand from one sheet to another and checked twice.
- "Can we afford it?" gets a guess. Somebody proposes new equipment at the meeting. The honest answer needs the whole year forecasting, so it gets a shrug and a "probably".
- Nobody will take it on when you stand down. The job is advertised at the AGM for three years running, because whoever takes it on inherits a spreadsheet and a carrier bag.
What changes for you
The figures for the meeting, ready
Management accounts for any month - against budget, with the year to date - and a short note against any line that came out differently. Print it, or download it as a spreadsheet, and it goes out with the papers.
"Can we afford it?" answered from the forecast
The cashflow runs month by month to the year end from what you have actually recorded, so you can see what a new cost does to the lowest month before the committee votes.
A record the next treasurer can pick up
Every payment has what it was for and its receipt; every budget line has a note saying where the figure came from. Your successor reads your reasons rather than guessing at them.
The committee can look without touching
Every trustee can see all the money and change none of it. You stop being the only window into the accounts, and you stop being the person who gets blamed when somebody else edits a cell.
Reminders for the money side
The insurance renewal and the reports you owe funders arrive in your inbox before they are due, rather than as a surprise in the post.
Your spreadsheet comes with you
Bring in last year's spending, income and trustee list. You match your columns to ours, and anything the import was unsure of is listed for you to check.
What it costs
£5 a month, or £50 a year
One price with everything in it: the money, the forecast, the trustees, the meetings, the compliance records, the grants and the GDPR records. No charge per trustee, and the charity is billed rather than whoever signed up, so the subscription stays put when the committee changes.
Questions people ask
What happens to the books when I stand down?
Nothing - which is the point. The records belong to the charity, not to you. The new treasurer is given their own login with the treasurer's role, you are removed, and everything you entered stays exactly where it was.
Is the subscription in my name?
No. It is billed to the charity, so it does not leave with whoever set it up. A charity without a card can pay by bank transfer against an invoice.
I am not an accountant. Will I understand it?
It is written for volunteer treasurers rather than bookkeepers. The screens say "what we spent" and "still to pay", not "accounts payable", and each of the main screens has a plain-English help article to go with it.
Does our independent examiner need to sign in?
You can give them a login that can look at everything and change nothing, but most will be happy with the printed reports and spreadsheet downloads, with the receipts attached to each payment.
Can I keep my own spreadsheet as well?
You can download your spending, income and reports as spreadsheets at any time. Most treasurers find they stop needing their own copy after the first few months.
