Where to keep charity policies, certificates and the governing document
Somewhere for the paperwork a funder asks for, with a date to look at each one again.
In The Charity Office: Governance → Documents → New document
Start with two
The governing document and the insurance certificate. They are the two a funder asks for first, and they are the two nobody can ever find.
After that, the policies: safeguarding, data protection, health and safety, whatever your charity has.
Review by
This is when the board should look at the document again. Most charities review a policy every year or two.
Filling it in is what makes the Documents menu item grow an amber badge, sixty days out. Anything with no review date simply never warns you.
The files themselves
A PDF, a Word or Excel file, or a photograph of a certificate, up to 20MB each. The size, the kind of file and who filed it are recorded for you.
Nothing is ever on a public address. A download goes through a check that you are on this charity and allowed to see its documents, every time.
Deleting a document deletes the file with it. There is no undo.
Worth knowing. Papers tabled at a meeting can be attached to the meeting itself, from the Papers section on the meeting - they are picked from this same list.
